Cancellations & Refund Policy

Asante Bodyworks — Cancellations & Refund Policy

  1. Booking & Deposit

  • A 30% non-refundable deposit is required at time of online booking via Wix Bookings to secure your appointment. The deposit amount will be displayed at checkout.

  • Full payment or remaining balance is due at or before the time of service as indicated in your booking confirmation.

    2.Rescheduling (Client-initiated)

  • You may reschedule your appointment to any available date/time without losing your deposit provided you notify us at least 48 hours before the scheduled appointment start time.

  • Rescheduling requests made with at least 48 hours’ notice must be communicated by email or phone (see Contact section). We will accommodate requests subject to availability.

  • If no suitable alternate appointment is available and you provided at least 48 hours’ notice, your deposit may be applied to a future appointment agreed between you and Asante Bodyworks.

    3.  Cancellations (Client-initiated)

  • Cancellations made at least 48 hours prior to the appointment: deposit may be applied to a future booking or refunded at Asante Bodyworks’ discretion (refunds are subject to any payment processor fees).

  • Cancellations made less than 48 hours before the appointment: the 30% deposit is forfeited.

  • No-shows or cancellations at the time of appointment: the full deposit is retained; additional fees for the booked service may apply if prepayment was made.

    4. Refunds

  • Deposits are generally non-refundable except in limited circumstances (e.g., cancellation by Asante Bodyworks — see section 6). If a refund is approved, it will be issued to the original payment method less any transaction or processing fees charged by Wix/Stripe. Processing time depends on the payment provider.

  • Chargebacks: If you raise a dispute or chargeback with your card issuer without first contacting us, we reserve the right to contest the dispute and may charge any remaining amount owed for services rendered or no-show fees if applicable.
    Changes Less Than 48 Hours — Exceptions & Extenuating Circumstances

  • We understand emergencies happen. If you must cancel or reschedule within 48 hours due to a genuine emergency (e.g., sudden illness, medical emergency), contact us as soon as possible and provide supporting information where reasonably requested. At our discretion, we may allow a one-time exception to retain or reassign your deposit. Repeated short-notice cancellations may be treated as forfeited deposits.

    5. Cancellations by Asante Bodyworks

  • If we must cancel your appointment (therapist illness, travel/weather issues, safety concerns), we will notify you as soon as possible and will either: (a) offer an immediate full refund of any prepaid amounts including deposit, or (b) offer rescheduling to the next available appointment with your deposit applied. We will not be liable for incidental costs (travel, accommodations, etc.).

    6.Mobile Appointments & Travel Fees

  • For mobile appointments at your location, travel fees (if any) are included in the service price or shown at booking. If a mobile appointment cannot proceed due to unsafe or unsuitable conditions at the location, the appointment may be cancelled; the deposit may be retained if cancellation is caused by the client or location conditions discovered on arrival.

    7. Late Arrivals

  • If you arrive late, we may shorten the session to finish at the scheduled end time to avoid affecting other clients. Full fees apply for the time booked. If insufficient time remains for a safe and effective treatment, we may treat it as a late cancellation and retain the deposit.

  • Or use the reschedule/cancel function in your Wix Bookings confirmation email or account (preferred for timely processing). Your request is not confirmed until you receive a written acknowledgment from Asante Bodyworks.

    9. Recordkeeping & Receipts

  • All payments, deposits, cancellations, and refunds are recorded and receipts issued via email. For refund requests, allow up to 14 business days for processing by payment processors.

    10.  Agreement & Changes to Policy

  • By booking with Asante Bodyworks you agree to this Cancellations & Refunds Policy. We reserve the right to amend this policy; changes will be posted on our website and noted in booking communications.
